Terms of use

Last updated 29 October 2026

These terms cover FitterMate, the online planning and quoting software at fittermate.co.uk. It also includes a free carpet calculator anyone can use without an account. FitterMate is run by Simon Benson, a sole trader trading as FitterMate, of Kidlington, Oxfordshire, UK. "We" and "us" means FitterMate; "you" means the person or business using it.

1. Who FitterMate is for

Fitter accounts are for businesses: flooring fitters, sole traders and flooring companies using FitterMate for their trade. By opening an account you confirm you are 18 or over and using it for business. The free carpet calculator is for anyone. It is a guide only: check measurements before you buy or cut.

2. Your account

  • Keep your password to yourself. If you think someone else has it, change it and tell us.
  • On the Business plan, the account holder can add logins for estimators and is responsible for what those logins do.
  • We will never ask for your password. If you can't sign in we check who you are with the support code on your Settings page.

3. Free trial

New accounts get a 14-day free trial with everything included. No card is needed. When it ends your jobs stay saved but can't be changed until you choose a subscription. Nothing is charged unless you choose one.

4. Subscriptions and payment

  • Sole trader: £19 a month or £190 a year, one login. Business: £39 a month or £390 a year, up to 5 logins.
  • We are not VAT registered, so no VAT is added. If that changes we will tell you before it affects your price.
  • You pay in advance by card through Stripe. FitterMate never sees or stores your card number.
  • Subscriptions renew automatically at the end of each month or year until you cancel. If you subscribe during your free trial, the first payment is taken when the trial ends.
  • If a renewal payment fails, Stripe will try again over the next few days. Your account keeps working for 3 days; after that it becomes read-only until payment goes through.
  • If we change our prices we will email you at least 30 days before, and the new price only applies from your next renewal after that.

5. Changing plan and cancelling

  • Use Settings → Subscription → Manage billing to change card, switch plan or cancel.
  • Switching plan part-way through a period is adjusted pro rata on your next bill.
  • If you cancel, FitterMate keeps working until the end of the period you have paid for, then stops renewing. We don't refund part-used months or years unless the law requires it, or we have made a mistake.

6. When a subscription ends

Your jobs, price lists and settings stay saved and readable. If you don't subscribe again, we will delete the account and its jobs 12 months after the subscription or trial ended, and we will email you before we do. You can ask us for a copy of your data, or for it to be deleted sooner, at any time through our contact form or [email protected].

7. Cut plans and quotes are a guide: check before you cut

FitterMate does the sums from the measurements, roll widths and prices you enter. It is a tool to help you, not a replacement for your own judgement.

  • Check measurements, roll widths, pile direction, pattern repeats and seam positions before you order material or make a cut.
  • You are responsible for the quotes you send your customers and the prices on them.
  • We are not responsible for wasted or short material, refitting, or lost jobs caused by measurements or prices entered wrongly, or by not checking a plan before cutting.

8. Your data and your customers' details

Your jobs and price lists belong to you. When you put your customers' details into FitterMate (names, addresses, phone numbers, measurements), you are the data controller for them and we handle them for you as your data processor. That means we:

  • only use them to run FitterMate for you, and never sell them or use them for anything else;
  • keep them secure and confidential, and only let people who need to (us, and the companies listed in our privacy policy) handle them;
  • tell you about any change to those companies, help you answer requests from your customers about their data, and tell you without undue delay if their data is ever lost or seen by someone who shouldn't see it;
  • delete them when your account is deleted (section 6), and give you a copy first if you ask.

You are responsible for having a good reason to hold your customers' details and for telling them how you use them.

9. Fair use

Don't try to break into FitterMate or other people's accounts, overload it, copy it, or resell it. Don't upload anything illegal. We can suspend an account that does, and we'll tell you why.

10. Keeping FitterMate running

We aim to have FitterMate available all the time but can't promise it will never be down, for example for updates or problems at our hosting company. We back it up every day.

11. Our liability

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to limit. Otherwise, for fitter accounts: we are not liable for loss of profit, business, contracts or materials, or for indirect losses, and our total liability for anything to do with FitterMate is limited to what you paid us in the 12 months before the claim.

12. Changes to these terms

We may update these terms. If a change matters, we'll email account holders at least 30 days before it applies. The date these terms were last changed is at the top.

13. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute. If you are a consumer living in Scotland or Northern Ireland you can also use your local courts.
